We are looking for someone with enthusiasm and attention to detail to join Digital Science as a Team Administrative Assistant.  Reporting to the Business Operations Manager, the Team Administrative Assistant will support the Executive Management Team to help them make the best use of their time and coordinate well with the wider management team and portfolio companies. The Team Assistant will also provide ad hoc administrative support to the Global Business Operations and People teams.

There are approximately 350 people in the Digital Science group, working in Europe, Russia, South Africa, the USA and the APAC region.

Role Responsibilities

  • Full diary management for the Executive Management Team – this will include travel and hotel booking and managing travel visas where required
  • Ownership of monthly Executive Management Team and Group Leader meetings and any additional strategy and off-site meetings that may arise
  • Coordination of both internal and external meetings for the Executive Management Team – this will include managing diaries across time-zones, room booking and setting up conference calls
  • Expense management for the Executive Management Team and Global Business Operations Team – this will also include making purchases for Portfolios using a company purchase card
  • Supporting the Executive Management Team with presentations – this will include formatting and collecting and collating agendas from multiple speakers
  • Creating and maintaining a repository of recommended hotels, external meeting rooms, catering services and restaurants in our key business regions
  • Providing administrative support to the Global Business Operations Team and occasional cross-functional support as needed

Key Skills & Experience

  • Efficient, excellent attention to detail, organised and a natural problem solver
  • Resourceful and solution focused; proactive in following-up and managing conflicting requests and expectations with a positive attitude
  • Ability to manage multiple diaries and projects simultaneously and identify priorities (minimum 1 year)
  • Experience working with cross-functional teams across various locations and time-zones (minimum 1 year)
  • Strong communication skills, both written and verbal. Comfortable working with internal and external stakeholders across various levels of seniority
  • Strong interpersonal skills; ability to build relationships, be approachable and professional with regard to confidential information
  • Confident using different or new software and systems, expenses document management, Gsuite, etc
